Administrative Assistant (Part-Time, 20 Hours per Week)

Position Summary

Grace Lutheran Church is seeking a dependable, organized, and self-motivated Administrative Assistant to support the daily operations of our church office. This position serves as the primary receptionist and is often the first point of contact for members, visitors, and the public. The ideal candidate is detail-oriented, communicates clearly, and enjoys working with people in a welcoming, service-focused environment.

Essential Duties and Responsibilities

Office and Reception Responsibilities

  • Serves as the primary receptionist: answering the door, greeting visitors and responding to phone calls and emails in a courteous, professional, and welcoming manner.
  • Provide accurate information or route inquiries to appropriate staff, clergy, or volunteers in a timely manner.
  • Maintains confidentiality and exercises discretion when handling sensitive information.

Administrative and Clerical Support

  • Prepare, format, duplicate, and assemble documents accurately and efficiently using Microsoft Word, Excel, and PowerPoint.
  • Ensure church bulletins for regular and special services are prepared, proofread, and completed by agreed-upon deadlines.
  • Help draft or proofread routine correspondence, newsletters, or announcements.
  • Support special projects or seasonal activities (e.g., holiday services, mailings, events).
  • Provide clerical and administrative support to the Office Manager and other staff as requested.

Records and Data Management

  • Maintain and update accurate records, including membership, committees, visitors, and mailing lists.
  • Use Church Windows software to enter, update, and retrieve data.
  • Back up electronic files according to an established schedule and office procedures.

Coordination and Organization

  • Maintain and update the church calendar of on-site events and activities.
  • Assist with coordination of office logistics as needed (mail handling, supplies, scheduling support).

Required Qualifications

Education

  • High school diploma or GED required.

Experience

  • At least one year of experience in an administrative or office support role.
  • Demonstrated record of dependable attendance and punctuality.

Knowledge, Skills, and Abilities

  • Basic math skills.
  • Strong command of spelling, punctuation, and grammar to ensure clear and professional written communication.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
  • Strong interpersonal and communication skills, with the ability to interact effectively with staff, volunteers, members, visitors, and vendors.
  • Ability to follow instructions, prioritize tasks, and complete assignments accurately and on time.
  • Ability to work independently while also functioning as part of a team.
  • Ability to handle interruptions and shifts in priorities with patience and professionalism.

Preferred Qualifications

  • Experience in a church, nonprofit, or volunteer-based organization.
  • Familiarity with Church Windows or similar database software (training available).
  • Strong organizational skills and attention to detail.
  • Positive, service-oriented attitude and collaborative work style.

Schedule and Compensation

  • Part-time position, approximately 20 hours per week.
  • Work schedule to be determined.
  • Compensation is set at $16.00 per hour.
